Sisterhood Job Descriptions
Duties of Officers
PRESIDENT
1. Preside over all meetings, conduct the business as prescribed by the Bylaws, preserve order, and see that the Officers fulfill their duties properly 2. Represent the Sisterhood on the Board of the Congregation. 3. Serve as official delegate of the Sisterhood to Women’s League Biennial Convention and KIPOT Branch conferences. 4. Disperse emergency funds, not to exceed $200.00, at the President’s discretion and upon consultation with the Vice-Presidents.
VICE-PRESIDENT FUNDRAISING
1. Oversee fundraising events. At Adat Shalom these include the Membership Directory, Donor and Yizkor Book. 2. Contact fundraising event committee chairs prior to and during the planning of the event to monitor progress and offer assistance.
VICE-PRESIDENT PROGRAMMING
1. Oversee programming events. At Adat Shalom these currently include the Opening Meeting, Hanukkah Lunch, Sisterhood Shabbat, Mid Year Event, Hamantaschen Baking and Annual Meeting/Installation. 2. Contact programming chairs prior to and during the planning of the event to monitor progress and offer assistance.
VICE-PRESIDENT MEMBERSHIP
1. Encourage new membership and involvement of existing membership through outreach programs as developed by the chair. 2. This would include keeping following up on all new members once they receive their synagogue packets, inviting new members to various Sisterhood or Synagogue events.
CORRESPONDING SECRETARY
1. Assume responsibility for all correspondence designated by the President including meeting notices, in the form of both an email and card. 2. Correspondence includes sending sympathy cards to Sisterhood members using a standard letter format, sending thank you notes to those who make contributions to Sisterhood and informing the person to whom the contribution was made. 3. A $5.00 contribution card is sent to any current board officer or standing committee chair who is sick, in the hospital, or mourning the loss of a parent, spouse or child. Sending a fruit tray in the amount of $25.00 for shiva of a current or past President mourning the loss of a parent, spouse or child.
RECORDING SECRETARY
1. Keep true and correct minutes of proceedings of all Regular or Executive Board Meetings. 2. Submit a copy of the minutes to the Executive Board and Standing Committee chairs in advance of the next meeting. 3. Collect all committee reports, profit loss statements and minutes to be kept on file.
FINANCIAL SECRETARY
1. Keep correct records of all monies received from membership dues. 2. Collect all dues and turn them over to the Treasurer. 3. Maintain a separate record of the Women’s League per capita dues, which is payable to Women’s League upon collection. 4. Send out initial mailing for dues at the beginning of the fiscal year. Send out follow up mailing to ensure that all dues are collected.
TREASURER
1. Be custodian of all funds of the Sisterhood. 2. Dispense funds upon order of the President. 3. Keep an accurate account for all receipts and disbursements. 4. Submit a complete annual written report at all Sisterhood Board Meetings. 5. Serve on the Budget Committee. 6. Submit books for audit on July 31st. 7. Maintain records of checks collected for all Sisterhood Events.
HISTORIAN
1. Keep a complete record of Sisterhood activities and display such records as requested by the President. 2. These records should include all invitations, programs and photographs of the event, to be kept in a scrapbook. 3. During the historian’s term f office this scrapbook can be maintained at the residence of the Historian. It should be returned to the Sisterhood file cabinet by June 30th.
AUDITOR
1. Audit the books of the Financial Secretary and Treasurer 2. Submit a report at the first regular meeting in September
DUTIES OF STANDING COMMITTEE CHAIRS
ADULT EDUCATION (NOSH & LEARN)
1. To develop Adult Education programs in conjunction with the Rabbi. 2. Schedule and plan any such program, including advertising, catering and preparation of any necessary written materials. 3. Attend the program and report on the outcome.
MID-YEAR EVENT
1. Plan and coordinate a evening Sisterhood sponsored program including the invitation, mailing, and catering. 2. Attend the meeting and report on its outcome.
BY LAWS/PARLIEMENTARIAN
1. Review and propose revisions to the By-Laws and Policies and Procedures in accordance with the recommendations of the Sisterhood Board. 2. Settle matters of parliamentary procedure at meetings.
JUDAICA SHOP
1. Shop administrator is responsible for keeping the Judaica Shop stocked and staffed. They must also keep records of all purchases and expenditures. They shall report their activity to the Executive Board.
OPENING MEETING
1. Plan and prepare for the Opening Meeting of Sisterhood. 2. Present ideas for the program for approval by the Sisterhood Board. Prepare and mail the invitation, select the caterer. 3. Attend the event and report on the outcome. Keep all record of expenditures to be submitted to the treasurer.
HANUKKAH PARTY
1. Plan and coordinate the Hanukkah party including the hiring of entertainment, preparation and/or catering of food and the invitation. 2. Submit a report after attending the event and keep an accurate record of expenses to be submitted to the treasurer for reimbursement.
INSTALLTION/ANNUAL MEETING
1. Plan and prepare for the Installation Dinner/Annual Meeting including selection of a speaker, caterer and invitation. 2. Attend the event and report the outcome. 3. Keep an accurate record of expenses to be submitted to the treasurer for reimbursement.
DONOR
1. Determine and implement the annual fundraising project compose and mail flyer. 2. Donor recognition is combined with the Annual Meeting/Installation 3. To report in the newsletter donor contributors. 4. Keep a list of all checks collected and send checks to the treasurer.
SISTERHOOD SHABBAT (SERVICE AND LUNCHEON)
1. Assign parts for the Sisterhood led shabbat service and organize the luncheon to follow. 2. Compose and mail the invitation and print out a program for the service. 3. Keep a record of all expenditures and submit to the treasurer for reimbursement. 4. Attend the event and report the outcome.
TORAH FUND
1. Create awareness regarding the existence and purpose of the Torah Fund through the newsletter and possibly through mailings and the Hebrew school. 2. Collect donations, send pins to all donors. 3. Keep a record of all donors
MEMBERSHIP DIRECTORY
1. Plan and compile an annual Membership Directory for distribution to the synagogue. 2. Such planning includes collecting greeting, the school and holiday calendar, updating eh membership information, obtaining donations from patrons, obtaining advertiser and working with the printer to design the finished book.
YIZKOR BOOK (BOOK OF REMEMBERANCE)
1. Plan and compile an annual Yizkor Book for distribution to the congregation for the high holidays. 2. Such planning includes collecting memorials and working with the printer to design the finished book.
HAMANTASCHEN BAKING/DOUGH
1. Organize a group to meet and bake hamantaschen for Purim to sell at the Carnival. 2. Dough chair coordinates the date for dough preparation with the hamantaschen baking chair.
FLOWER FUND
1. Collect donations and provide flowers for high holiday services and special events on request. 2. Provide a list of the donors for the newsletter and the high holiday bulletin. 3. Keep a list of all checks received and send collected checks to the treasurer.
SOCIAL ACTION
1. Determine and coordinate one social action activity for Sisterhood to with respect to the community at large; to include a blood drive, holiday/toy collection, clothes drive, visit the elderly, participate in a walkathon, prepare food for the homeless. 2. Responsibilities include sending a mailing, organizing the activity, keeping accurate records of all expenses and a list of all volunteers to be submitted for publication in the synagogue newsletter.
BAT MITZVAH COORDINATOR
1. Coordinates which Sisterhood member presents Sisterhood’s gift by contacting the Bat Mitzvah parent. 2. Submits a list of Sisterhood presenters with their assigned dates to Jill Rook.
PUBLICITY
1. Sends announcements of events to the Chronicle, Herald and/or Valley News Dispatch. 2. Sends pictures and/or notes of events to the Chronicle, Herald and/or Valley News Dispatch.
SUKKOT
1. Coordinate efforts with the Cantor and the synagogue custodian to gather, hang and store Sukkot materials.
NOMINATING CHAIR
2. The committee shall consist of an uneven number, the majority of who shall come from the Board. 3. The committee proposes the slate of officers, standing committee chairs, and elected board. 4. The committee shall report to Sisterhood at the March Board meeting. 5. The proposed slate shall be sent to each member at least 14 days before the Annual Meeting. This can be sent with the Installation invitation. 6. The committee should contact all current officers and committee chairs prior to accepting nominations to determine if these members want to serve in their same position.
EX-OFFICIO
ELECTED BOARD
1. Attend a minimum of one half the scheduled Board meetings per year. 2. Notify the President or Recording Secretary if unable to attend meetings. 3. Serve on committees that request additional help from Sisterhood board members. 4. Support Sisterhood fund-raising and cultural projects.
